    Tips for Planning a Virtual Event

    As virtual events become popular every day, event managers have to work harder to get people to register and attend the event. Thanks to the advancement of virtual event technology, people can find virtual conference platform and host a live event. Virtual events can be quite successful when properly planned. From strategy to marketing, hosting, and presenting, follow these tips and tricks to build an incredible virtual event.

    Set Realistic Goals

    Before making any plans, it’s always prudent to have a clear goal from the start. Know why you’re holding the event and what you want to achieve in the end.  To understand the goal of your event, you can ask yourself the following questions:

    • Who do you want to reach at, using your event?
    • Are you looking for an audience of new customers or existing customers?
    • Is your audience participating in the event, or are they simply observers?

    Once you have set your goals, share them with your team to ensure that the event reaches the targeted audience.

    Know Your Audience

    Content is king, and your attendees determine the type of content you share. If your attendees are looking to learn something from the event, prioritize and maximize on delivering interesting, informative, and engaging content. Avoid being vague or too broad and concentrate on a specific area and be as detailed as possible.

    Work With an Events Team

    Don’t do everything by yourself. Work with an events team and delegate some tasks to other people to make the process easier and smoother. With so many strategies to consider and marketing to do, you want to ensure that you dedicate your time to the most important parts of the event, such as marketing and hosting. Attend other people’s events and add a few insights to streamline your event planning. Make sure that your event team has an expert in every area.

    Market Your Event

    Invest heavily in advertising your event. Use the available social media platforms for advertising your event like Facebook, Twitter, and  Instagram. Take pictures and videos of the venue and share them with your teams to share with friends. If you have email subscribers, send newsletters with links to the event signup page and welcome people to attend. Finally, use controlled platforms like radio and TV to reach more people.  Don’t forget the event hashtag. Use it everywhere as frequently as possible.

    Choose the Right Platform for the Event

    Research the right platform to use for your event. Check the pros and cons of each and match them with your event needs. Consider the features, your budget, and the number of attendees permitted. With so many platform options like Zoom, Adobe Connect, GoToMeeting, Google Hangouts, and other meeting platforms, you can keep your event organized and running smoothly from the first stage to the last stage.

    Make the Event Engaging

    Plan activities that require active participation to ensure your attendees leave the event satisfied. You can have an MC to keep the engagement levels up between sessions. Encourage the participants to have conversations with each other and ask questions. Presenters should also speak with energy to keep the audience engaged.
